1. Agreement to Terms

By accessing our services at Whispers Equine Ltd, you agree to be bound by these Terms & Conditions, all applicable laws and regulations, and agree that you are responsible for compliance with any applicable local laws.

2. Service Description

Whispers Equine Ltd provides equine-assisted therapy services for young people and families. Our services include:

  • Individual therapy sessions
  • Group therapy sessions
  • Family therapy sessions
  • Assessment and consultation services

3. Eligibility and Suitability

Our services are designed for young people aged 8-18 and their families. We reserve the right to assess suitability for our programs and may decline services if we believe they would not be appropriate or beneficial for the individual.

4. Health and Safety

Participants must:

  • Disclose all relevant medical conditions and medications
  • Follow all safety instructions provided by staff
  • Wear appropriate clothing and footwear
  • Treat horses and equipment with respect
  • Report any concerns or incidents immediately

While we take all reasonable precautions, participants acknowledge that working with horses carries inherent risks.

5. Appointments and Cancellations

Booking: All sessions must be booked in advance through our approved booking system.

Cancellation Policy: We require at least 48 hours notice for cancellations. Late cancellations or no-shows may be charged the full session fee.

Weather: Sessions may be cancelled due to severe weather conditions for safety reasons. We will provide as much notice as possible and reschedule at no additional cost.

6. Payment Terms

Fees: Session fees are as agreed during the initial consultation and are subject to periodic review.

Payment: Payment is due at the time of service unless other arrangements have been made in advance.

Funding: If your sessions are funded by a third party, you remain responsible for payment if funding is withdrawn or delayed.

7. Confidentiality

We maintain strict confidentiality in accordance with professional standards and data protection laws. Information may only be shared:

  • With your explicit consent
  • When required by law
  • To prevent serious harm to yourself or others
  • As part of safeguarding procedures

8. Photography and Media

We may request permission to take photographs or videos for training, promotional, or clinical purposes. Such permission is entirely voluntary and can be withdrawn at any time. We will never use images without explicit written consent.

9. Insurance and Liability

Whispers Equine Ltd maintains appropriate public liability and professional indemnity insurance. However, participants are encouraged to ensure they have adequate personal accident insurance.

To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages.

10. Code of Conduct

All participants and visitors must:

  • Treat all staff, volunteers, and other participants with respect
  • Refrain from using offensive language or behavior
  • Not attend sessions under the influence of alcohol or drugs
  • Respect the therapy environment and all equipment
  • Follow site rules and staff instructions at all times

11. Complaints Procedure

We are committed to providing high-quality services. If you have a complaint, please contact us immediately so we can address your concerns. We have a formal complaints procedure available upon request.

12. Changes to Terms

We reserve the right to modify these terms at any time. We will notify participants of any material changes. Continued use of our services after changes constitutes acceptance of the modified terms.
